The Executive Assistant provides high-level administrative support to company executives by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, making travel arrangements, and organizing daily calendars.

  • Coordinate daily calendars for senior managers
  • Plan appointments and events – including ordering lunches / catering.
  • Act as the point of contact between executives and employees / clients
  • Create regular reports and update internal databases
  • Make travel arrangements – Correct AirFare
  • Manage phone calls and emails
  • Respond promptly to managers’ queries
  • Facilitate internal communication
  • Suggest more efficient ways to run the office and troubleshoot malfunctions
  • Monitors inventory of supplies and orders supplies as necessary.
  • Assis with new hires – locating desk, SAP training, coordinate with IT on laptops, set up travel profiles, etc.
  • Expense Reports for Senior Management
  • Assist with scheduling candidate interviews
  • Manage conference rooms
  • Project Manager any company expantions
  • Collect, Receive, Distribute company mail to business unit
  • Enter Contractor time in SAP
  • SAP Key User – Work with HR / Finance to ensure SAP is accurate for employees and to fix any issues.
  • Source, Create and Enter POs
  • Coordinate Committee Meetings
  • Fix printer issues
  • Correct any incorrect time entries
  • Order clothing from vendors
  • Manage cleaning company
  • Maintains ORG charts

Bring to the team

  • 3+ years of executive administrative assistant experience
  • High level of professionalism
  • Ability to handle and maintain confidential information
  • Ability to effectively manage multiple priorities
  • Take Initiative
  • Strong attention to detail
  • Solid organizational skills
  • Proficient with ERPs, Word, Excel, PowerPoint, etc.
  • Ability to interact with different levels of management and personalities
  • Proven work experience as an Executive Assistant, Executive Administrative Assistant or similar role
  • Knowledge of office procedures
  • Familiarity with online calendars
  • Experience using office equipment, including printers and fax machines
