Purchasing Specialist

The Purchasing Specialist will provide administrative support to the Purchasing Manager and the Project Team. This role will be responsible to develop, implement, manage and report out Indirect Savings for the business unit eCommerce/Retail of Swisslog Americas. This role also includes the ownership of the supplier list, process and monitor the PM Authorization to Order Requests, Requests for Quotes as well as Purchase Orders and obtain information from potential suppliers, approval and forms to set up new suppliers.

Responsibilities

  • Draft correspondences and other formal documents
  • Maintain office supplies, both tracking supplies on hand and ordering
  • Perform general administrative tasks as needed, including ordering business cards, copying, scanning, filing, editing, printing and binding documents, etc.
  • Coordinate routine maintenance of copiers and printers. Including ordering supplies, placing services calls, replacing necessary ink cartridges
  • Ship domestic and international materials and small packages using FedEx, UPS, DHL and Postal Services.
  • Support the Executive Administrative Assistant in planning and scheduling appointments and events as needed.
  • Support the Project Management Team as needed
  • Process Requisitions and issue Purchase Orders in SAP.
  • Monitor purchase orders and obtain order confirmation.
  • Keep Project Folders up to date, upload necessary information in the folder.
  • Keep Supplier List current and up to date.
  • Assure that NDA’s with our vendors are in place and valid.
  • Per Request, send out Welcome Packages to potential new vendors, obtain needed forms and signatures, and set up supplier in the system. Obtain Supplier Evaluation if needed.
  • Compile the RFQ Package and send out to defined vendors that will participate in the RFQ Process
  • Monitor RFQ’s and obtain quotes in a timely manner
  • Create Spreadsheets and log data as needed.
  • Obtain information internally and/or externally for Purchasing Manager as needed.
  • Ensure that plans and strategies for cost and value are backed by appropriate practices and behaviors.
  • Develop, implement and manage category-sourcing strategies.
  • Work independently on projects given.
  • Identify potential cost saving opportunities.
  • Work within a cross-functional team on high pressure projects
  • Responsible to develop, implement, manage, and report out Indirect Savings.

Application Requirements

  • Bachelors or Associates Degree in Business
  • Fluent in English, any other major language is an advantage
  • At least 3 years of experience working in the purchasing department; ideally in an industrial environment
  • Previous experience working with Project Teams
  • SAP experience.and advanced Excel knowledge is preferred
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Strong organizational skills
  • Ability to do problem solving
  • Ability to prioritize and multitask effectively to meet deadlines
  • Proficient in Microsoft Office applications
  • Act with a sense of urgency and focus on results, not activity.
